Campus USB Orders: 5 Preload Decisions That Differ From a Corporate Giveaway

A university order looks like one purchase but behaves like three: admissions wants a welcome pack, alumni wants a keepsake, orientation wants a working handout, and all three sit in the same cart with different file sets. Treat it like a corporate giveaway and you end up with one drive that opens on none of the lab PCs, or one PO that no single department will sign. The five decisions below are where campus orders diverge from a standard run, and getting them right before production saves a reprint.

Why a Campus Order Is Not One Audience

Five preload decisions that make a campus USB order different from a corporate giveaway.

The first mistake is writing one file list. Admissions, alumni and orientation each own different content, and each has a different owner who will not thank you for mixing their material. A welcome video, a donation form and a course catalogue should never share a root folder, because the wrong recipient opening the wrong file is a privacy slip, not a convenience. Split the cart by department at the order stage, even if the drives ship in the same box, so each set can be approved by its owner before anything is preloaded.

Decision 1: Who Owns the File List, and How to Freeze It

Name one person who approves the final file set, and freeze it in writing before production starts. On a campus order the list drifts because a fourth department joins late, or a file gets 'just one small update' after the preload window opens. A moving target means the factory either waits or ships a version nobody signed off. Send the factory a checksum or a file count per department, and treat any later change as a new order, not a footnote.

Decision 2: One Drive That Opens on Lab PCs, Macs and Chromebooks

The recipient machine is not one device. A student assistant will plug the drive into a lab PC running Windows, a Mac in the design studio, and a Chromebook in the library - and none of them should need a helper app to read it.

The file system choice decides this. FAT32 opens everywhere but caps single files at 4GB; exFAT raises that limit and still reads on Macs and most newer Chromebooks; NTFS opens on Windows and reads on Mac but is not a safe choice for Chromebooks. Pick the format before production, because you cannot reformat a giveaway after it ships.

The matrix below is the part students care about and the part most orders skip. Match it to the oldest machine in your labs.

FAT32 opens on every campus machine but caps files at 4GB; exFAT lifts the cap and still reads on most Chromebooks.

Decision 3: What Should Never Be Preloaded on a Drive Handed to Students

Do not preload anything with a real name, a grade, or a login on a drive meant to circulate. A welcome pack that accidentally carries another student's record is a compliance failure, not a typo. Keep personally identifiable content on a separate, access-controlled channel, and preload only the generic, shareable material: schedules, guides, orientation videos. If a department insists on personalized files, ship those on a separately sealed drive with its own label.

Decision 4 and 5: Labelling by Department, and Splitting One PO Into Separately Boxed Sets

Label each drive by department and box the sets separately, even when they ship together. A cart of identical unlabelled drives forces the recipient office to sort by hand and invites the wrong set going to the wrong desk. Splitting one PO into separately boxed, department-labelled sets costs little at the factory and removes the single biggest source of campus-order errors. Send the department list, the file set and the week you need delivery; we will quote a split-pack configuration and ship one sample set per department for sign-off.
